Your Data & Our Commitment

FleetSpartan, Inc. provides fuel security software for fleets and drivers. We design our systems to protect your data, minimize what we collect, and use it only to deliver and secure the services your Company enables. Below is a concise overview of the data we handle and why.

  • Account & Company: Company name, identifiers, and admin contacts to operate your tenant.
  • Portal Users: Names, business emails, roles, and authentication artifacts (e.g., hashed credentials, MFA status).
  • Drivers & Devices: Driver identity, assigned phone/device identifiers needed for secure sign-in and transaction verification.
  • Vehicles: Fleet units, attributes, and fuel rules (e.g., product types, limits) configured by your Company.
  • Fuel & Transaction Events: Authorization requests, site/pump checks, approvals/denials, volumes, and anomalies (e.g., unexpected changes).
  • Diagnostics: App usage timestamps, crash/error logs, and performance telemetry to keep the app reliable and secure.
  • Location (when enabled): Used to confirm presence at the fueling site, enforce geofences, and prevent fraud—never for advertising.

How We Protect Data

  • Encryption: Data is encrypted in transit (TLS). Sensitive secrets are stored using modern hashing and key-management practices.
  • Access Controls: Role-based access, least-privilege defaults, MFA where supported, and segregation of duties for operations.
  • Network & Platform Security: Hardened environments, patch management, and monitoring for threat indicators and abuse.
  • Audit & Monitoring: Administrative access and key actions are logged; anomalous activity is flagged for review.
  • Secure Development: Code reviews, dependency scanning, and change control before production release.
  • Backups & Continuity: Regular backups and tested restore procedures; documented incident response and escalation paths.
  • Subprocessors: We use vetted service providers (e.g., hosting, analytics, crash reporting) under contracts requiring appropriate safeguards.

Retention

We retain data only as long as needed to provide the service, meet legal obligations, resolve disputes, and enforce agreements. Your Company’s policies may specify retention for operational and transaction records. For tenant-specific retention details, contact your Company administrator.

Your Choices

  • Location: Control location permissions in your device settings. Some anti-fraud and fueling features require location.
  • Notifications: Manage push settings in the device OS or within the app (when enabled by your Company).
  • Profile & Assignments: Request updates through your Company administrator for user roles, driver/vehicle links, or fuel rules.

Request Deletion of Your Account

If you wish to delete your account and associated data, please email or call us with your request. Include your Company name, your business email, and a contact number so we can verify identity and route the request to the correct tenant administrator.
